4. To recruit, manage, and support our volunteers and trustees:

  • Addresses

  • Emergency contact/next of kin details

  • Application details, CVs, and reference checks

  • Bank details (for the reimbursement of out-of-pocket expenses)

 

Our Lawful Bases for Processing Data

Under UK data protection law, we must have a “lawful basis” for collecting and using your personal information.

  • Services, Fundraising, and Marketing: Our lawful basis for these activities is Consent — we have permission from you after we gave you all the relevant information. You have the right to withdraw your consent at any time.

  • Volunteer Management: Our lawful basis for collecting and using volunteer data is Legitimate Interests (it is necessary for the effective day-to-day administration of our volunteer team and to safeguard our organisation) and Legal Obligation (to comply with UK financial laws regarding the retention of expense records).

 

Where We Get Personal Information From

  • Directly from you.

  • From third parties (such as referees provided by volunteers during recruitment).

 

How Long We Keep Information

We do not keep your information for longer than necessary.

  • We keep financial information (including donor records and volunteer expense claims) for up to seven years due to legal and contractual requirements.

  • We delete all other personal information from our customer relationship management system if we have had no contact with you for three years.

 

Lawful Bases and Data Protection Rights

Which lawful basis we rely on may affect your data protection rights, which are, in brief, set out below:

  • Your right of access: You have the right to ask us for copies of your personal information.

  • Your right to rectification: You have the right to ask us to correct or delete personal information you think is inaccurate or incomplete.

  • Your right to erasure: You have the right to ask us to delete your personal information.

  • Your right to restriction of processing: You have the right to ask us to limit how we can use your personal information.

  • Your right to object to processing: You have the right to object to the processing of your personal data.

  • Your right to data portability: You have the right to ask that we transfer the personal information you gave us to another organisation, or to you.

  • Your right to withdraw consent: When we use consent as our lawful basis, you have the right to withdraw your consent at any time.
